Position Description / Responsibilities

GOAL

The Manager of Development Information will be the responsible and centralized party for the integrity and management of TPAC’s Tessitura database for all Development department and sponsorship activity. Additionally, this position oversees the configuration and maintenance of fundraising campaign structures, reporting systems, and reconciling of all incoming gifts by ensuring accurate, current and historical constituent data.   

OBJECTIVES

  1. Represent and advocate for TPAC’s development and sponsorship timetables, priorities and intiatives within consortium’s Tessitura User Group (TUG) and TPAC’s Tessitura team
  2. Manage and be responsible for the accuracy, timeliness, and integrity of TPAC’s fundraising and sponsorship data and procedures in the Tessitura database
  3. Develop and maintain documentation of development and sponsorship processes and procedures relating to data entry, management, usage, and hygiene of the Tessitura database in tandem with TPAC Tessitura Systems Director and team
  4. Establish and ensure data standards and procedures that align interdepartmentally in partnership with Tessitura systems team
  5. Work in conjunction with Marketing and Ticketing Services departments, as well as the Tessitura systems staff, to attain seamless orchestration between departments
  6. Help promote TPAC institutionally in the community

Position Requirements

PRIMARY DUTIES AND RESPONSIBILITIES

  1. Manage all data, gift entry, policies, and procedures for development and sponsorships in accordance with institutionally established standards and practices
  2. Work with Development department staff on special projects relating to data entry and tracking needs to ensure team is adhering to best practices
  3. Maintain financial data in Tessitura for all campaigns, including gift entry, weekly Annual Campaign status reports, and other financial reports as needed
  4. Reconcile monthly all gifts and pledges received through Development department, on-line, and transferred from Box Office with Business department
  5. Provide audit support for Business department as it pertains to Development department reporting, revenue, and records
  6. Process manual credit card gifts and payments for Development and Education departments and reconcile monthly with Business office
  7. Manage pledge balances and invoices with Business Office
  8. Generate data files/proofs for all department communications (Annual Campaign, TPAC Gala, Partnership Luncheon, Holiday Cards, etc.) while updating patron data to ensure accurate tracking and reporting
  9. Measure success and quantify results of each fundraising and direct mail effort
  10. Maintain records of special event donors and attendees, produce lists for invitations and event-related appeals, produce financial reports of event giving progress and final results with Sr. Manager of Development Events and Services
  11. Manage department procedures for donor renewal campaign, working with Subscriber Services and Director of Individual Giving
  12. Manage and assist in the processing and distribution of donor benefits in accordance with benefit levels
  13. Within Tessitura, maintain fundraising campaign and appeal structures as well as plans maintenance for accuracy and historical data tracking
  14. Maintain membership organizations for individual and organization donors
  15. Manage initial data pull/proofs and subsequent updates for donor listings for publications, lobby signage, and website
  16. Assist Director of Individual Giving with donor/subscriber ticketing needs
  17. Generate personalized acknowledgement letters and contribution receipts for Annual Campaign and event gifts for review by Director of Individual Giving
  18. Support logistics of TPAC Gala auction check-out, including reconciling night-of sales with Tessitura, Business department, and vendor (if applicable) 
  19. Manage online sales and reservations for TPAC Gala and gala Patron Committee
  20. Represent the TPAC Development department in Tessitura Users Group (TUG) in tandem with TPAC Tessitura Systems team and Data Standards Committee
  21.  Ensure Data Committee standards are met through daily Tessitura use and   assist committee with data hygiene projects

QUALIFICATION REQUIREMENTS:

Experience Required

Bachelor’s degree (B.A.) from a four-year college or university preferred; two (2) years related experience in database management, preferably in a not-for-profit setting

Skills and Knowledge Required

  1. Expert level knowledge of computers and Microsoft Office programs such as Excel
  2. Experience working with Tessitura Patron Management software strongly preferred
  3. Ability to read, analyze, and interpret complex documents while creating routine and complex reports/documents
  4. Excellent verbal and written communication/interpersonal skills 
  5. Ability to work independently in a fluid, dynamic environment
  6. Ability to maintain strict confidence 
  7. Personal interest and knowledge of non-profits, particularly the arts and humanities, is a plus
  8. Ability to work as a team member with a positive, helpful attitude in developing creative responses and solutions to needs and issues
