Position Description / Responsibilities

Vita Finance Services, LLC is a business management company that serves entrepreneurs. As a business management firm, our core competencies include bookkeeping, the preparation of financial statements and tax return prep, financial statement cleanup and ad hoc consulting projects. It is our duty to chart the greatest course of action for our clients which includes preservation, growth and execution of their financial plans.

Specific responsibilities for this position include:

• Implementation of accounting standards for bill payment journals & ledgers (incl. accuracy of expense coding)

• Review of invoices and resolution of discrepancies

• Processing of bills in accordance with Client bill cycles

• Monitoring of transactions & accounts to ensure payments are current and processed efficiently

• Preparation and submission of checks for approval

• Maintenance of vendor relations and related master data

• Analysis and classification of credit card statement charges

• Assisting the management team with the preparation of the quarterly financial statements

• Assisting the management team with New Client On-boarding procedures

• Preparation of Weekly Client communications (cash reports, weekly updates)

• Revenue Tracking

• 1099 Reporting

• Preparation of account reconciliations

• Preparation of Tax Work papers

• Maintenance of Client relations

This position requires a highly organized individual who is proficient in data entry and data management. He or she must possess strong initiative and have the ability to complete multiple projects in a deadline driven environment. He or she must be able to communicate effectively with internal and external contacts to solicit support to complete tasks.

Technical Competency Requirements

Computer Skills

• Possesses excellent spreadsheet skills

• Knowledge of QuickBooks accounting software (preferred but not required- System Adept)

• Suggests ways to use data analysis tools or otherwise automate processes

Position Requirements

Education Requirements

• BS Accounting, finance, economics

Education Desired

• Strong academic record

Experience Required

• Experience within a Business Management Firm and/or the entrepreneurial environment where there would be good transferability of skills

• Knowledge of QuickBooks

Experience Desired

• Experience in managing several concurrent projects for at least 2 years
