Position Description / Responsibilities

Office Administrator
The Nashville Health Care Council has a wonderful career opportunity for an organized and detail-oriented individual to serve as our Office Administrator. The Council is a dynamic and fast-paced membership association of health care industry leaders, working together to further establish Nashville’s position as the nation’s health care industry
capital. The Council also serves as a trusted source for information on trends that influence the health care industry.

This is a critical role for the organization providing support to the president and chief operating officer. The position requires a flexible team player able to handle different and changing responsibilities, including managing and performing administrative duties with the utmost confidentiality and providing support to other senior level team members while maintaining the highest level of customer service and professionalism.

 Assistance to President and COO:
o Calendar management/travel arrangements/correspondence/expense reports
o Meeting logistics, including staff and board meetings and preparation of board books
o Primary contact and liaison with executive assistants of directors

 Operations Support:
o General office management - answering main phone line, mail, office supplies, visitors, etc.
o Vendor relations/office equipment/furniture needs
o Database maintenance
o Staff onboarding

 Team Support:
o Calls/questions from members
o Event planning, execution and reconciliation support
o Fellowship Program application management, acceptance packages, and surveys
o Leadership Health Care Program support, including digital board book creation
o Email marketing support
o Basic website maintenance and updates

Position Requirements

Specific qualifications include:
 Minimum 3-5 years equivalent office experience
 High school diploma required; Bachelor’s degree beneficial
 Highly motivated self-starter with ability to collaborate and support others in a team-oriented environment
 Detail oriented with exceptional organizational, interpersonal and communications skills
 Positive/professional demeanor
 Ability to multi-task and meet deadlines despite frequent interruptions
 High level of computer proficiency utilizing Microsoft Office software (Outlook, Word, Excel, PowerPoint) and proficiency to manage (or learn) organization’s database and Emma email service
 Ability to implement efficiency in flow of information within office
 Ability to maintain confidentiality
 Knowledge of the health care industry a plus
 Reliable mode of transportation and a valid driver’s license
