Position Description / Responsibilities

The Tennessee Department of General Services is responsible for providing goods and services to the State government of Tennessee. Its primary customers are other State departments and agencies. It also serves vendors wishing to do business with the State, and citizens and organizations interested in purchasing surplus State and federal property. The Department’s services include centralized procurement for State departments; management of the State’s real estate assets; motor vehicle and equipment management; printing, media, and photographic services; postal services; warehousing and distribution; State employee parking, badging, and shuttle services; and assistance to small businesses and businesses owned by minorities, women, and veterans. The Department is currently seeking a qualified individual to provide administrative support and assistance to the DGS Division State of Tennessee Real Estate and Asset Management (STREAM). The SBC/ESC Coordinator position will coordinate monthly committee agendas and support documents, work with various functional areas of STREAM to compile, maintain, and distribute information, maintain deadlines for staff, and related work. In addition, the position will perform a wide variety of assignments to assist the division as needed.

The position is located in downtown Nashville and the monthly starting salary is $3,206 - $3,687 (determined on experience). Information regarding benefits can be found at 

Examples of Duties and Responsibilities
• Coordinate Monthly State Business Commission Executive Sub-Committee (ESC) Agendas. The following includes preparation for STREAM internal meetings, a prep meeting with Office of the State Architect / Finance & Administration, and an ESC staff meeting each month
I. STREAM averages approximately 10-12 items per month, sometimes more Conducts research in support

II. Work with STREAM staff to develop ESC packet documentation including lead sheets and applicable support documentation

III. Maintain Lead sheets and backup documents

IV. Prepare agenda documents, including lead sheets and backup materials

V. Attend various meetings and take notes of any edits, corrections or questions

VI. Work with STREAM staff to address any edits and/or questions or requested documentation

VII. Organize notebooks for STREAM management use (Includes Commissioner, Deputy Commissioner, Assistant Commissioner, Executive Director and others)

VIII. Liaison with Office of the State Architect as needed

• Coordinate SBC/ESC information with STREAM business units
• Schedules and books conference rooms, bridge lines, all required technical equipment, etc. for internal STREAM SBC/ESC meetings

• Assist with transition of compliance record duties

Position Requirements

• Completion of a bachelor’s degree from an accredited college or university and 2 years of experience providing grant or legal assistant duties in the private or public sector; and/or
• 4 years of providing direct coordination and administrative assistant in the private or public sector
• Experience working in a fast-paced office environment and managing multiple deadlines at the same time
• Experience working with Microsoft Office suite and Adobe Pro
• Superior organization, interpersonal, problem solving and negotiation skills
• Excellent presentation, verbal and written communication skills
