Supervisor: Administrative Services Manager
Summary: Responsible for transporting, storing, destroying, and maintaining records for state agencies. Additionally, while operating company vehicles, this position will use the utmost care and discretion by adhering to state transportation laws and any related company policies.
Duties/Responsibilities:
- Drive van or box truck to customer locations for service needs. No CDL is required.
- Maintain strict state confidentiality and security.
- Fulfill records requests by client agencies by delivering records from the warehouse to the agency. Ensure that the delivered records are signed for by the agency and that the records are properly tracked as being at the agency. Retrieve records from agencies to be returned to the central warehouse and ensure proper tracking is maintained.
- Facilitate the destruction/shredding process either at the central warehouse or through another vendor. Deliver records for disposal and ensure proper transfer of custody to the vendor.
- Coordinate with agencies to process boxes for the physical transfer or destruction.
- Review microfilm and microfiche on the viewer and make digital and paper copies to assist client agencies in records reviews.
- Assist in moving and reconfiguring filing equipment/systems as needed.
- Assist in records projects as requested and assigned.
- Complete other duties as assigned.
Position Requirements
Education and Experience
- Education equivalent to graduation from a standard high school
- Experience equivalent to two years of storekeeping work is preferred.
Knowledge and Abilities
- Must have and maintain a valid driver’s license and be willing and able to travel independently throughout the state.
- Ability to use a handheld device, drive a van, or box truck
- Must be able to carry a cell phone & iPad to be in communication with Management.
- Approach staff members, state personnel, and the public in a friendly professional manner.
- Good hearing, vision, and manual dexterity.
- Ability to repeatedly lift boxes of up to fifty (50) pounds every day, push a cart of boxes, climb a ladder, and work in a dusty and dirty environment as needed.
- Ability to work in areas with strong smells from old or decaying records.
- Ability to stand and walk for extended periods of time.
- Possess skill in, or demonstrate an ability to learn, basic computer operations.
- Approach staff members, state personnel, and the public in a friendly professional manner.
- Write clear correspondence and communicate professionally.
- Ability to work both in a team environment and as an individual contributor.
- Ability to follow written or oral instructions.
Health, safety, and materials security
- Assist the organization in creating a safe and healthy working environment by working safely with the equipment provided.
- Follow instructions given for health and safety purposes and immediately report any unsafe working practices or hazardous working conditions.
- Take security measures necessary to protect materials, property, and/or records from loss, mutilation, or theft.
