Position Description / Responsibilities

JOB SUMMARY:

The Tenant Administrative Services Assistant 3 will provide high level administrative support to the Tenant Services Executive Director, Parking Office and Conference Room Management within the State of TN Real Estate Asset Management (STREAM) Division.

 The essential duties and responsibilities of the position include the following:

 REPRESENTATIVE DUTIES AND RESPONSIBILITIES

·        Support the Tenant Services Executive Director and the team as required

·        Support the Parking Division, including handling all visitor parking requests, working with Agency            HR on parking hang tags and communication with Agency on general parking needs

·        Handle the administrative functions of the parking ticketing system, including working with Parking          Manager, Agency HR team, DGS legal and DGS Leadership

·        Support Conference Center Manager with reservations and meeting coordination

·        Plan meetings & conferences, and teleconferences

·        Assist preparing action item logs, reports, proposals and other documents by collecting and                    analyzing data, formatting, inputting, retrieving, copying or transmitting data

·        Create and design PowerPoint presentations and assist in creating other materials

·        Handle internal and external phone calls with professionalism and efficiency

·        Proficiency in Outlook, Word, Excel, SharePoint, One note and Access.

·        Draft letters and documents

·        Support Executive Director and team with special projects

·        Perform general office duties, maintain records, and manage database systems

 


Position Requirements

MINIMUM EDUCATION & EXPERIENCE

Bachelor’s degree and at least one year of experience supporting senior and/or executive management in an organization

Experience can substitute for the education on a year-for-year basis, up to four years
